The problem

Five interlinked spreadsheets ran an eight-figure equipment business. Every rate change, off-rent, or transfer meant re-keying the same data into five separate files, by hand, in the right order. One operator held the formula knowledge in their head, which made the whole operation a single point of failure, and rate errors quietly leaked into customer invoices where nobody caught them until later.

What we built

A full corporate inventory and invoicing platform. An equipment move is captured once and routed through approval, scheduling, and billing in one flow, so the same fact never gets typed five times. The parts that make it hold up under a real business:

  • Retroactive editing that rebuilds a closed month as credit notes instead of voiding and re-issuing invoices, so the books stay clean and auditable.
  • Role-based access for ops, admin, and leadership, so the right people see and change the right things.
  • Two years of historical data migrated and reconciled line by line against the source spreadsheets before go-live, so nothing was lost in the switch.

The outcome

The platform now handles $2.1M of rental revenue across 178 active assets and 3,300+ rent records with zero formula-related billing discrepancies. Weekly invoice generation went from about four hours to under ten minutes. The dependency on a single operator is gone, and the business recovered roughly ten hours of admin time a week, which is where the annual savings come from.
